Event Promotion Guidelines

When planning an event, follow this checklist to ensure you are using the most effective channels and methods to make your event successful.

Planning Your Event

  • Ensure the communicator in your area knows about the event.
  • Consider taking photos to document the event and to promote future events. Consult the Photography 101 guide.
  • To host an event in Loeb Playhouse, Fowler Hall, Elliott Hall of Music or Slayter Center, or if you have A/V needs at an event, contact Hall of Music Productions.
  • Are you a part of a student club or organization? Contact the Business Office for Student Organizations for assistance in planning and promoting your event.

Building Your Promotion Plan

  • Consider the most effective channels available to get your message out to your intended audience: for example, flyers, banners, web ads, social media posts, Facebook “events,” digital campus signage, T-shirts, University calendar, emails, etc.
  • Start promoting your event on your social media channels and website two to four weeks before the event.
  • Submit your event to the University calendar at calendar.purdue.edu.
  • Local advertising for your event can be purchased through WLFI, the Purdue Exponent, Lafayette Journal and Courier, Star City Media and WBAA.
